1.4. Storage and retention periods
We process your personal data for no longer than is necessary to perform our contractual duties. The data concerned are generally erased once they are no longer needed. Sometimes data may need to be stored for an extended period of time beyond this due to statutory or legal obligations. These include commercial and tax documentation obligations, burden of proof and retention requirements, for example. In these cases, we are generally required to retain the data for three to ten years, or in rare cases such as legal disputes, for up to 30 years.
2. Processing of personal data for our core business purposes
We work together with customers, suppliers, service providers and partners to be able to provide our extensive range of products. It is necessary to process personal data to provide these products.
2.1. Type and origin of the personal data
We only process personal data if you have given your consent, or if legislation permits this processing, and only to the extent that is necessary to fulfil our obligations in connection with our business relations with our customers, suppliers and partners. ‘Processing’ means collecting, storing, reading, erasing or transmitting personal data, for example.
Personal data include:
- Master data and contact details of customers, suppliers, recipients of goods, for example (such as name, address, telephone number, e-mail address, job title, department of our contact and so on).
- Data required for accounting and payment processing (such as bank details, tax number, credit management information and so on, where the data relate to a natural person).
- Information regarding supplier and customer relations management (such as order history and so on, where the data relate to a natural person).
We receive the data that we process as part of and in the course of our business relations with our customers, supplier, partners and service providers, among others. We also receive personal data from affiliate companies of the Ellerhold Group, for example, through the internal assignment of a print order.
In some cases, we also process personal data that we have received by other means. Data from the following sources are processed in line with the applicable data protection laws:
- Publicly accessible sources such as commercial and business registers, trade fairs, exhibitions, online sources, newspapers, classified directories and so on.
- Third parties that are not affiliated with the Ellerhold Group, including, among others, trade associations, credit agencies, insurance providers and so on.
2.2. Purpose of the processing of personal data
Personal data is processed in line with the applicable legal requirements and only for permitted purposes.
2.2.1. Processing of personal data to perform contractual obligations
We process personal data to perform the contractual obligations we have entered into with our customers, suppliers and service providers. Personal data are also processed to take steps at the specific request of the data subject prior to entering into a contract.
The purpose of the data processing in these cases is based on the contract (and the services agreed therein) that has been concluded with our customers, suppliers or service providers. For example, personal data are processed when offers are prepared and orders are processed.
2.2.2. Processing of personal data with your consent
We also process your personal data if you have given us your consent to do so, such as for the purposes of direct marketing measures. You may exercise your right to withdraw your consent at any time with future effect. You can withdraw your consent at any time and in any form you wish using the contact information above.
2.2.3. Processing of personal data to comply with legal obligations
We may be required to process certain data on the basis of certain national economic, commercial, tax and social legislation, as well as European legislation (in relation to legislation to prevent the financing of terrorism, for example). Specifically, this may also result in obligations for us to secure, store, report and collect data that are generally to be used by the respective authorities for monitoring purposes.
2.2.4. Processing of personal data to safeguard legitimate interests
We also process personal data where this is necessary to safeguard the legitimate interests of companies in the Ellerhold Group and our customers. We pay particular attention to your personal interests in this regard. These can include:
- The supply of products and the performance of services.
- Our customer service and the processing of complaints.
- The transmission of personal data within the Ellerhold Group for internal administrative purposes.
2.3. Recipients of the personal data
Personal data is only made available to other companies within the Ellerhold Group if and to the extent that this is necessary to safeguard our legal and contractual rights and obligations. This may be the case when coordinating our contractual services, for example. The manufacturing of print products, central IT services, supplier and customer administration as well as accounting and controlling services are typical examples of this.
We work together with external service providers if this is necessary to perform certain contractual obligations or to safeguard legitimate interests, and disclose personal data to these service providers for certain IT services, the completion of payment for online orders and for other special contract components. We ensure compliance with legal requirements, including the applicable data protection regulations, when engaging external service providers.
2.3.1. Credit and identity checks
In order to minimise our risk of liability and to run a credit check, we reserve the right to transmit personal data to Schufa Holding AG (‘Schufa’), Kormoranweg 5, 65201 Wiesbaden, Germany (SCHUFA) and/or Verband der Vereine Creditreform e.V. (‘Creditreform’), Hellersbergstrasse 12, 41460 Neuss, Germany, in order to obtain information about you and your credit standing based on mathematical and statistical methods (score value), and – where this is necessary to safeguard our legitimate interests and your legitimate interests are not compromised – to transmit information concerning conduct that does not comply with contract (such as card misuse) to Schufa/Creditreform. Schufa/Creditreform stores these data to be able to provide their affiliated companies with an assessment of customers’ creditworthiness and makes these data available to their contract partners, where they plausibly demonstrate a legitimate interest in the transfer of personal data. The data are used exclusively for this purpose. You can obtain information from Schufa directly on the personal data stored about you by contacting the address stated above.
Furthermore, we also reserve the right to transmit your data to Schufa/Creditreform for the purposes of running an identity check before a contract is concluded. Schufa/Creditreform will then calculate the degree to which the personal data stored in their records correlates with the data collected by us as a percentage value and inform us of the result. The correlation rates sent by Schufa/Creditreform enable us to identify whether a person is stored in Schufa’s/Creditreform’s database under the address they provided and is over the age of 18. No further data is shared, no differing addresses are transmitted and your data is not stored in Schufa’s/Creditreform’s database; only the act of an address being checked by Schufa/Creditreform will be stored. All credit and identity checks are performed to eliminate payment difficulties. The sharing of data between contracted partner companies and other commercial information services protects businesses from losses that have a long-lasting impact on sales prices. This means that, as an end customer, you also benefit from customer data being checked for this purpose.
2.4. Obligation to provide personal data
We have to, or are legally required to, process certain personal data (as described in Section 2.1) to be able to perform our services. We are unable to conclude contracts with our customers, suppliers or service providers without these data.
2.5. Controller
Your respective Ellerhold Group contract partner (see Section 1.1) is the controller for the processing of your personal data within the meaning of the General Data Protection Regulation.
3. Processing of personal data while using our websites
We operate our websites to provide you with information about the companies within the Ellerhold Group and their products and services. We also provide online shops in which you can purchase these products.

3.7. Online-Designer-Tool
When using our online designer tool, we may process other data in addition to the personal data described in Section 2.1. This data is entered by the user as part of the design process and may represent personal content, e.g. names and images of persons.
Uploaded images which are not required for the fulfilment of contractual obligations (order, storage as a template ...) will be deleted by us within three days.
3.8. Service „E-Labels“
When e-labels are created, we save the data entered and use the selected address as the person responsible for the content of the e-label. If you do not conclude a license agreement for the "e-labels" service with us, the e-labels will be deleted 12 months after the last change.
4. Data processing in the application process
When applying, you have the option of applying directly to a company belonging to the Ellerhold Group. This can be done either by post, e-mail or via the online form.

4.2. Type and origin of the personal data
The following data is requested and processed when an application is submitted:
- Contact data of the applicant (such as name, address, telephone number, e-mail address, date of birth, nationality)
- Data on previous career and education (curriculum vitae, certificates, references, evidence, medical certificates)
- Wishes regarding the new employment relationship (such as earliest possible starting date, working hours, place of work, salary expectations ...)
This data is used purely for the decision-making process for the application and may come from the following sources:
- From you as the applicant yourself
- Former employers as far as we know
4.3. Recipients of personal data
If you apply to a company in the Ellerhold Group, your data will be processed by Ellerhold Aktiengesellschaft and the company to which you have applied.
If we determine during the application process that another position in another company of the Ellerhold Group is more suitable for you, we reserve the right to forward your application.
Your data will not be passed on to companies outside the Ellerhold Group.
4.4. Purpose of the processing of personal data
The processing of personal data is carried out in accordance with the applicable legal provisions and only for the purpose of decision-making on the application.
The application documents may only be viewed and processed by the persons responsible for the recruitment of applicants in the company. These authorized persons are the HR department, the respective department heads, managing directors, managers and any existing works council. All persons involved are obliged to maintain confidentiality.
If you receive an offer of employment with us during the application process and accept it, we will store the personal data collected during the application process for at least the duration of the employment relationship.
4.5. Storage duration
Your data will be stored for a period of 6 months after the end of the application process. This is usually done to fulfill legal obligations or to defend against any claims arising from legal regulations.
In addition, we reserve the right to store your data beyond the application process with your express consent in order to identify any other interesting positions for you.
